Terms & Conditions - Haunted Houses Events Ltd

1.1 Provision of Services – Haunted Houses Events Ltd will make every reasonable effort to deliver the scheduled services on the booked date as advertised.

  • In the event of unforeseen circumstances (such as venue restrictions, staff shortages, or technical issues), Haunted Houses Events Ltd reserves the right to make necessary adjustments while maintaining the integrity of the event.
  • Any significant changes to an event will be communicated to customers as soon as possible.

1.2 Standard of Service – Haunted Houses Events Ltd is committed to providing all services with due care, skill, and professionalism, ensuring a safe and enjoyable experience for all participants.

  • Events will be conducted by trained and experienced staff, using established investigation techniques and professional event management standards.
  • Guests are expected to follow all instructions given by staff to maintain safety, respect for the venue, and the overall quality of the experience.

1.3 Event Limitations & Disclaimers

  • Haunted Houses Events Ltd cannot guarantee specific paranormal outcomes, activity, or guest experiences, as these are unpredictable by nature.
  • The company does not control external factors such as venue conditions, noise levels, or the presence of other groups on-site.
  • If a venue imposes unexpected access restrictions, Haunted Houses Events Ltd will make reasonable efforts to provide alternative arrangements but is not liable for limitations beyond its control.

1.4 Equipment & Facilities Provided

  • Haunted Houses Events Ltd may provide ghost hunting equipment for use during investigations, but availability may vary by event.
  • Equipment must be handled responsibly, and any loss or damage caused by guest negligence may result in liability for replacement costs.
  • Venue facilities (such as toilets, heating, or power supply) are the responsibility of the venue owner, and Haunted Houses Events Ltd cannot guarantee their condition or availability.

1.5 Service Modifications & Cancellations

  • If circumstances require modifications to an event, Haunted Houses Events Ltd will ensure that any adjustments are reasonable and in line with the originally advertised experience.
  • In cases where an event must be cancelled, Clause 14 (Cancellations & Postponements) applies.

2.1 Deposits – Haunted Houses Events Ltd experiences can be reserved with a deposit.

  • The deposit amount varies by event, and details are provided on each individual event page.
  • All deposits are strictly non-refundable and non-transferable.
  • A deposit does not constitute a confirmed booking; it only reserves a place until the final balance is paid in full.

2.2 Booking Fees

  • A booking fee may apply at the time of making a reservation.
  • The applicable booking fee will be clearly stated at the time of payment.
  • Booking fees are non-refundable under any circumstances.

2.3 Final Balance Payment

  • The remaining balance must be paid no later than 28 days prior to the event, unless otherwise specified on the event page.
  • Failure to complete payment by the deadline will result in the booking being cancelled without a refund.

2.4 Full Payment Requirement

  • The full booking fee must be received at least 28 days before the event, unless an alternative arrangement has been agreed in writing by Haunted Houses Events Ltd.

2.5 Booking Confirmation

  • A booking is considered fully confirmed only once the total event fee has been paid, whether through full upfront payment or completion of the remaining balance.

2.6 Non-Payment Consequences

  • If the final balance is not received by the deadline, Haunted Houses Events Ltd reserves the right to relist the place(s) for resale.
  • If the place(s) are resold, the original booking cannot be reclaimed, and no refund will be issued.

2.7 Customer Responsibility & Payment Reminders

  • It is the sole responsibility of the customer to ensure that any outstanding balance is paid at least 28 days prior to the event.
  • As a courtesy, Haunted Houses Events Ltd will issue payment reminders via email:
    • 7 days before the due date
    • On the due date
  • However, failure to receive or act on these reminders does not exempt a customer from payment deadlines or cancellation policies.

2.8 Final & Non-Amendable Bookings

  • All bookings are final and cannot be amended to a different date.
  • Once a booking is made, it is non-transferable to another event or date, regardless of circumstances.
  • Guests who cannot attend their booked event will be subject to Clause 3 (Cancellations & Amendments).

2.9 Non-Refundable & Non-Transferable Terms

  • Payments for bookings, including deposits and full balances, are non-refundable and non-transferable, unless otherwise stated in the cancellation policy.
  • Exceptions will not be made, regardless of personal circumstances, including but not limited to:
    • Work commitments
    • Travel disruptions
    • Illness (excluding pregnancy-related amendments under Clause 7)
    • Personal emergencies

 

3.1 Customer-Initiated Cancellations & Non-Attendance

  • If a customer cancels their booking at any stage after purchase, for any reason, fails to attend the event, or chooses to leave early, the entire booking fee or deposit will be retained by Haunted Houses Events Ltd.
  • This applies to bookings made directly via our website, over the phone, or through any third-party booking website.
  • All payments are strictly non-refundable and non-transferable.
  • This does not affect your statutory rights under UK consumer law.

3.2 Reduction in Party Size

  • If a customer reduces the number of attendees in their booking, the corresponding booking fees for those places will be retained and cannot be credited or transferred.
  • This does not affect your statutory rights.

3.3 Strict No-Refund & No-Transfer Policy

  • All booking fees are strictly non-refundable and non-transferable, except in cases where the event is cancelled or postponed by Haunted Houses Events Ltd (see Clause 14).
  • This policy is in compliance with the Consumer Rights Act 2015, which states that businesses are not required to provide refunds for cancellations initiated by the customer unless the service has been misrepresented or is not provided as advertised.

3.4 Commitment to the Booking Date

  • Customers must ensure they are able to attend their selected event at the time of booking.
  • Haunted Houses Events Ltd does not provide refunds or transfers if a customer is unable to attend for any reason.
  • Haunted Houses Events Ltd is required to pay venues in advance and remains liable for these costs regardless of individual cancellations.
  • As a result, we cannot offer an alternative date without incurring additional costs, and customers wishing to attend a different event would need to meet these costs themselves, and make a new full-price booking.
  • This policy aligns with UK contract law, which states that consumers enter a legally binding agreement upon booking, meaning businesses are not obligated to offer refunds or transfers unless contractually agreed.
  • This does not affect your statutory rights.

3.5 Cancellation Notification

  • If a customer wishes to cancel their booking, they must notify Haunted Houses Events Ltd in writing via written letter, email or text message as soon as possible.
  • Cancellations cannot be accepted via social media, telephone, or voicemail.
  • This policy complies with the Electronic Commerce (EC Directive) Regulations 2002, ensuring fair and transparent online business practices.

3.6 Resale of Cancelled Places

  • Haunted Houses Events Ltd does not resell cancelled fully paid places on behalf of customers.
  • Under the Consumer Protection from Unfair Trading Regulations 2008, Haunted Houses Events Ltd has no obligation to resell or credit a customer’s cancelled place.

3.7 Transferring Your Booking to Another Person

  • Customers who have fully paid for a booking but can no longer attend may choose to resell or gift their place(s) privately.
  • However, the replacement attendee must:
    • Meet the minimum age requirement.
    • Comply with pregnancy restrictions.
    • Ensure the venue is suitable for any disability requirements.
  • This aligns with contract law principles, as the contractual obligation is transferable only with the original booker’s consent and notification to Haunted Houses Events Ltd.

3.8 Guest List Updates for Transferred Places

  • The original booker must notify Haunted Houses Events Ltd via email with the full name(s) of the replacement attendee(s) prior to the event.
  • Guests who are not on the event’s official guest list may be refused entry.

3.9 Third-Party Transfers

  • Any booking transferred to a third party remains subject to Haunted Houses Events Ltd’s Terms & Conditions.
  • The recipient of the booking automatically agrees to all terms upon accepting the transferred place.
  • Haunted Houses Events Ltd is not responsible for any disputes or issues arising from private third-party transactions.
  • This aligns with UK consumer protection laws, ensuring that all third-party transfers are bound by the same contractual obligations as the original booking.

3.10 No Refunds for External Circumstances

  • Haunted Houses Events Ltd cannot provide refunds or transfers due to:
    • Personal illness (excluding pregnancy-related amendments under Clause 7).
    • Work commitments or schedule changes.
    • Travel disruptions, including train strikes, road closures, or adverse weather (unless the event itself is affected—see Clause 15, Force Majeure).
    • Financial difficulties or personal emergencies.
  • Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, event bookings for specific dates fall under ‘leisure activities’ and are exempt from standard 14-day cancellation rights.

3A.1 Compliance with Legal and Government Guidelines – Haunted Houses Events Ltd, along with its affiliated partners, will only operate events when legally permitted. All events will be conducted in accordance with the latest guidelines issued by the relevant national governing body.

3A.2 Event Cancellations or Postponements Due to Pandemic Restrictions – If an event is cancelled, postponed, moved, or rescheduled due to circumstances beyond our control (such as government restrictions or lockdowns), Haunted Houses Events Ltd will offer customers the option to either receive a refund or transfer their booking to a new date.

3A.3 Understanding Risks When Booking During Pandemic Periods – By making a booking during a period affected by Covid-19 (or any similar pandemic), customers acknowledge that Haunted Houses Events Ltd may be required to cease operations due to national or local lockdowns. In such cases, the policies outlined in Clause 3A.2 will apply.

3A.4 Personal Decisions Not to Attend – If an event is deemed safe to proceed and a customer chooses not to attend for personal reasons, our standard cancellation terms (Clause 3.1) will apply. In such cases, Haunted Houses Events Ltd is unable to offer refunds, transfers, or credit notes.

3A.5 Non-Attendance Due to Illness or Self-Isolation – If a customer or any member of their group is unable to attend due to illness, testing positive for an illness, or being required to self-isolate, no refund, credit note, or transfer will be offered. The booking remains subject to our standard terms and conditions.

4.1 Liability for Loss or Damage – Haunted Houses Events Ltd is responsible for ensuring that services are provided with reasonable care and skill, as required by law. We will compensate customers for any loss or damage suffered as a direct result of our failure to fulfil legal duties, except where such failure arises due to:

4.1.1 Customer’s Own Actions – Where the loss or damage results from the customer’s own actions, negligence, failure to follow safety instructions, or disregard of any guidance provided by Haunted Houses Events Ltd or event staff.

4.1.2 Third-Party Liability – Where the loss or damage is caused by a third party unrelated to Haunted Houses Events Ltd, including venue owners, employees of the venue, or other attendees.

4.1.3 Unforeseeable Events – Where the loss or damage arises from events beyond our reasonable control, including but not limited to force majeure, extreme weather conditions, unforeseen venue closures, or any other circumstances that could not have been anticipated even with all due care.

4.2 Limitation of Liability – To the fullest extent permitted by UK law, Haunted Houses Events Ltd excludes liability for:

  • Any indirect, incidental, or consequential loss, including loss of enjoyment, business losses, or travel/accommodation costs.
  • Personal injury or damage to personal property unless caused directly by Haunted Houses Events Ltd’s negligence.

4.3 Customer Indemnity – By participating in a Haunted Houses Events Ltd experience, the customer agrees to indemnify and hold Haunted Houses Events Ltd harmless against any claims, liabilities, damages, or costs incurred as a result of:

  • Their own actions or failure to adhere to event rules and safety guidelines.
  • Misuse of equipment or failure to follow instructions provided by Haunted Houses Events Ltd or venue staff.

4.4 Statutory Rights – Nothing in this clause affects the customer’s statutory rights under UK consumer law, including rights under the Consumer Rights Act 2015, which ensures that services must be performed with reasonable care and skill.

5.1 Minimum Age Requirement – Due to restrictions at most venues and requirements imposed by our insurance policy, the minimum age for all participants is 18 years old.

  • Attendees aged 16 and 17 may participate only if accompanied by a parent or legal guardian.
  • Haunted Houses Events Ltd staff are not trained to work with minors, and our events take place in an adult environment. Due to the nature of our events, which often involve close interaction with strangers in dark and unfamiliar locations, children under 16 are strictly prohibited.

5.2 Age Verification & Refusal of Entry – Haunted Houses Events Ltd reserves the right to request identification upon entry if a customer appears to be underage.

  • If a customer fails to provide valid proof of age, or if they are found to be under the permitted age limit, they will be refused entry without any refund.
  • Acceptable forms of ID include a passport, driving licence, or PASS-accredited ID card.

5.3 Accessibility for Wheelchair Users & People with Mobility Issues – Many of the historic venues we use may not be fully accessible due to stairs, uneven flooring, or restrictions beyond our control.

  • Customers who require wheelchair access or have serious mobility issues must contact Haunted Houses Events Ltd before booking to discuss accessibility options for their chosen event.
  • While we will make reasonable adjustments where possible, we cannot guarantee full accessibility at all venues.

5.4 Service Dogs & Assistance Animals – Haunted Houses Events Ltd recognises the rights of individuals with disabilities to be accompanied by a service dog, as protected under The Equality Act 2010.

  • Customers wishing to attend with a service dog must contact Haunted Houses Events Ltd before booking, as some venues may have restrictions due to safety concerns, historic preservation, or venue policies beyond our control.
  • Proof of service dog certification may be requested by our venues, and the dog must be well-behaved and under control at all times.
  • Emotional support animals (ESAs) and therapy animals do not qualify as service dogs under UK law and will not be permitted at events.

5.5 Liability & Safety Considerations – Haunted Houses Events Ltd reserves the right to refuse entry or participation to anyone who does not meet the age, accessibility, or service dog requirements outlined above. This policy is in place to ensure the safety and enjoyment of all attendees while maintaining compliance with legal and insurance requirements.

6.1 Prohibited Substances & Dangerous Items – Haunted Houses Events Ltd operates a zero-tolerance policy regarding alcohol, drugs, solvents, and dangerous weapons at all events.

  • Any customer suspected (by any Haunted Houses Events Ltd team member) of being under the influence of alcohol, drugs, or solvents, or of bringing such substances or dangerous weapons to the event, will be refused entry or removed immediately.
  • Illegal substances and offensive weapons are strictly prohibited. If found, these items will be confiscated, and the police may be contacted.

6.2 Alcohol & Breathalyser Use

  • Haunted Houses Events Ltd reserves the right to conduct breathalyser tests on entry if a customer is suspected (by any Haunted Houses Events Ltd team member) of being under the influence of alcohol.
  • Customers who refuse to cooperate with a breathalyser test or who fail the test will be denied entry or removed from the event.

6.3 Removal & Legal Consequences

  • Any customer removed from an event under Clauses 6.1 or 6.2 will not be entitled to a refund.
  • Where illegal offences are suspected (including possession or use of drugs, alcohol-related disorder, or possession of a dangerous weapon), Haunted Houses Events Ltd reserves the right to contact the police.
  • If required, Haunted Houses Events Ltd will provide personal details of the individual(s) involved to the authorities to assist with legal proceedings.

6.4 Legal Compliance – This policy aligns with:

  • The Misuse of Drugs Act 1971 (prohibiting the possession and supply of controlled substances)
  • The Licensing Act 2003 (regulating alcohol-related disorder)
  • The Offensive Weapons Act 2019 (restricting the possession of dangerous weapons in public spaces)

By attending an event with Haunted Houses Events Ltd, all customers agree to comply fully with this policy.

7.1 Restrictions on Attendance – Due to health and safety risks, as well as restrictions imposed by most venues, pregnant women are not permitted to attend Haunted Houses Events Ltd events. This policy is in place to ensure the safety and well-being of both the expectant mother and their unborn child.

7.2 Health & Safety Considerations

Ghost hunting events often take place in historical buildings, which may pose several risks for pregnant attendees, including:

  • Uneven and hazardous terrain – Many venues have steep staircases, uneven flooring, and poorly lit areas, increasing the risk of trips and falls.
  • Extended periods of standing and walking – Events typically involve prolonged periods of physical activity that may be unsuitable for those experiencing pregnancy-related fatigue or discomfort.
  • Exposure to extreme temperatures – Many venues are cold, damp, or poorly ventilated, which may not be suitable for pregnant individuals.
  • Sudden shocks and stress – Paranormal investigations often involve jump scares, unexpected noises, and heightened adrenaline levels, which could contribute to stress-related complications during pregnancy.

7.3 Insurance & Venue Restrictions

  • Most venues explicitly prohibit pregnant individuals from participating due to liability concerns.
  • Haunted Houses Events Ltd’s insurance policy does not cover pregnancy-related injuries or complications, meaning we are unable to accept responsibility for any issues arising from participation.

7.4 Legal & Ethical Considerations

  • While The Equality Act 2010 protects against discrimination based on pregnancy, exclusions are lawful when based on health and safety considerations.
  • Our policy is designed not to discriminate but to prioritise health, safety, and legal compliance.

7.5 If a Participant Becomes Pregnant After Booking

If a participant falls pregnant after making a booking, they must contact Haunted Houses Events Ltd as soon as possible to discuss their options. The following alternatives are available:

  • The pregnant participant may receive a refund for their ticket.
  • The full party may transfer to a later event date (subject to availability), but refunds will only be issued for the pregnant attendee.

Refunds will not be issued for the full booking unless all other standard cancellation terms apply (see Clause 3).

7.6 No Exceptions or Liability

Haunted Houses Events Ltd cannot make exceptions to this rule. Customers booking for others are responsible for ensuring that no pregnant individuals attend the event. Any pregnant attendee who arrives at a Haunted Houses Events Ltd event will be refused entry without a refund.

This policy is in place to protect all parties involved and ensure our events remain a safe and enjoyable experience for all guests.

8.1 Smoking & Vaping – Smoking and vaping are only permitted in designated outdoor areas as agreed upon by the venue owners. These areas will be clearly identified at the start of the event.

  • Customers must dispose of cigarette ends responsibly using the provided bins or ashtrays.
  • Smoking and vaping are strictly prohibited indoors or outside designated areas.

8.2 Fire Hazards & Open Flames – To comply with fire safety regulations, the use of candles, incense, or any open flames is strictly prohibited during events.

  • Haunted Houses Events Ltd reserves the right to determine what constitutes a potential fire hazard.
  • Any customer found in possession of prohibited fire hazards will be removed from the event without a refund.

8.3 Use of Electrical Devices – To prevent overloading electrical systems and reduce fire risks:

  • No personal electronic devices that require mains power may be plugged into venue power outlets without prior approval from a venue representative.
  • This includes, but is not limited to, mobile phone chargers, laptops, or electronic ghost hunting equipment.
  • Any unauthorised use of electrical sockets may result in removal from the event if deemed a safety risk.

8.4 Legal & Safety Compliance

This policy is in place to ensure compliance with:

  • The Health Act 2006 (which regulates smoking in enclosed public spaces)
  • The Regulatory Reform (Fire Safety) Order 2005 (which governs fire hazard prevention)
  • Venue-specific fire safety protocols and insurance requirements

Customers who fail to comply with these regulations may be asked to leave the event without a refund.

9.1 Zero-Tolerance Policy for Disruptive Behaviour – Haunted Houses Events Ltd enforces a strict zero-tolerance policy for disruptive behaviour.

  • Any customer found to be disruptive, disrespectful, or unpleasant towards other guests or Haunted Houses Events Ltd staff will be immediately removed from the event.
  • This policy is in place to ensure a safe, professional, and enjoyable experience for all attendees.

9.2 Harm, Injury & Property Damage – Any customer found to be:

  • Causing harm or injury to another person or animal, or
  • Damaging property or contents at a venue (whether belonging to Haunted Houses Events Ltd or the venue itself)

Will be removed from the event immediately, and the police may be contacted if necessary.

9.3 Faking Paranormal Activity – Haunted Houses Events Ltd is committed to providing authentic paranormal experiences. Any customer found to be deliberately faking paranormal activity (including, but not limited to, throwing objects, tapping on surfaces, or manipulating equipment) will be removed from the event.

9.4 No Refunds for Removal – Any customer removed from the event under Clauses 9.1, 9.2, or 9.3 will not be entitled to a refund under any circumstances.

9.5 Trespassing & Unauthorised Access – Any off-limits areas within a venue will be clearly identified at the start of the event.

  • Any customer found knowingly trespassing in restricted areas will be removed from the event immediately without a refund.
  • Haunted Houses Events Ltd is not responsible for any consequences arising from trespassing, including legal action taken by the venue owner.

9.6 Legal Compliance & Safety Considerations

This policy aligns with:

  • The Criminal Damage Act 1971 (regarding intentional damage to property)
  • The Protection from Harassment Act 1997 (ensuring respectful behaviour towards others)
  • Venue-specific safety regulations

By attending a Haunted Houses Events Ltd event, customers agree to abide by these behavioural expectations.

10.1 Customer Responsibility – All luggage, clothing, equipment, vehicles, and personal effects brought to a Haunted Houses Events Ltd event remain the sole responsibility of the customer.

  • Haunted Houses Events Ltd accepts no liability for the loss, damage, or theft of any personal belongings, regardless of the cause.
  • Customers are advised to keep valuables secure and avoid bringing unnecessary personal items to the event.

10.2 Ghost Hunting Equipment – Any ghost hunting equipment brought by the customer is included under Clause 10.1 and remains the full responsibility of the owner.

10.3 Lost Property Policy – Haunted Houses Events Ltd will retain lost property for a period of three months from the date of the event.

  • If an item is found, it will be securely stored by Haunted Houses Events Ltd for up to three months.
  • Guests who believe they have lost an item must contact Haunted Houses Events Ltd directly to arrange retrieval.
  • After three months, any unclaimed items will be donated to charity or sold, with proceeds going to charitable causes.

10.4 Collection & Postal Return

  • Customers are responsible for collecting their lost property or arranging and covering the cost of postage or courier collection.
  • Haunted Houses Events Ltd accepts no liability for any loss or damage to items once they have been posted.
  • If a customer opts for postal return, Haunted Houses Events Ltd will send the item using a standard postal service at the customer’s risk.

10.5 Legal Considerations
This policy aligns with:

  • The Theft Act 1968, which outlines procedures for handling lost or unattended property.
  • The Torts (Interference with Goods) Act 1977, which permits disposal of unclaimed property after a reasonable retention period.

By attending a Haunted Houses Events Ltd event, customers acknowledge and accept this lost property policy, including their responsibility for collection and postage.

11.1 Venue Restrictions on Photography & Filming – Some venues may impose restrictions on photography and filming during events.

  • Customers will be informed at the start of the event if photography or filming is not permitted.
  • These restrictions are set by the venue and must be adhered to at all times.

11.2 Non-Compliance with Venue Restrictions

  • Any customer found taking photographs or filming in restricted areas in violation of Clause 11.1 may be removed from the event without a refund.
  • Haunted Houses Events Ltd reserves the right to delete any unauthorised recordings made in restricted areas if required by the venue.

11.3 Haunted Houses Events Ltd Promotional Filming & Photography

  • Haunted Houses Events Ltd may film and take photographs during events for promotional and marketing purposes.
  • By booking onto and attending an event, customers consent to the use of their image, likeness, or voice in promotional materials, including social media, website content, and advertising.
  • If a customer does not wish to be filmed or photographed, they must inform a Haunted Houses Events Ltd representative before the event begins. While we will make reasonable efforts to accommodate requests, avoidance of incidental inclusion cannot be guaranteed.

11.4 Ownership of Customer-Captured Media

  • Any images or footage captured by customers during a Haunted Houses Events Ltd event shall be considered the intellectual property of Haunted Houses Events Ltd.
  • Customers may not use, sell, or distribute media from an event for commercial gain without prior written consent from Haunted Houses Events Ltd.
  • Haunted Houses Events Ltd reserves the right to request the removal of any media shared publicly that breaches venue agreements, privacy concerns, or falsely represents the company.

11.5 Legal Considerations

This policy aligns with:

  • UK Copyright, Designs and Patents Act 1988, regarding ownership of media.
  • General Data Protection Regulation (GDPR) and UK Data Protection Act 2018, ensuring consent for personal data use in marketing.

By attending a Haunted Houses Events Ltd event, customers agree to abide by all photography and filming policies outlined above.

12.1 Use of Haunted Houses Events Ltd Equipment – Haunted Houses Events Ltd provides ghost hunting equipment for customers to use during events.

  • Customer Responsibility – Once equipment is handed to a customer, it becomes their sole responsibility.
  • Liability for Damage or Loss – If a customer damages, loses, or renders equipment defective due to reckless actions, Haunted Houses Events Ltd reserves the right to recover costs for the repair or replacement of the equipment.
  • Customers must handle all equipment with care and return it in the same condition in which it was provided.

12.2 Restrictions on Haunted Houses Events Ltd Equipment

  • Customers must not place Haunted Houses Events Ltd equipment in bags or pockets at any time.
  • Equipment must remain within designated vigil areas and must not be taken elsewhere within the venue.
  • All equipment must be handed back at the end of each vigil to ensure it is accounted for and in working order.

12.3 Use of Personal Ghost Hunting Equipment

  • Customers may bring their own battery-operated, handheld ghost hunting equipment to use during the event.
  • Haunted Houses Events Ltd reserves the right to inspect any personal equipment for safety reasons and may refuse its use at its discretion. Any decision made is final.

13.1 Discount Codes – Discount codes are issued periodically for promotional purposes. Each discount code will have specific terms and conditions, which must be followed as advertised by Haunted Houses Events Ltd.

  • Discount codes must be used correctly and within their validity period.
  • Expiration dates listed for each code cannot be extended.
  • Any bookings made using an invalid or unauthorised discount code will be treated as misuse, therefore cancelled and any payment made refunded immediately.

13.2 Usage of Discount & Voucher Codes

  • Discount codes, voucher codes, and credit codes can only be applied to either a full balance payment or a deposit payment.
  • A final balance payment cannot be discounted using a code or voucher.

13.3 Event Price Reductions & Promotional Adjustments

  • Haunted Houses Events Ltd reserves the right to adjust ticket prices for promotional purposes.
  • Promotional discounts apply only to new bookings made during the promotional period.
  • Customers who have already booked at full price are not entitled to a partial refund due to later price reductions.
  • On rare occasions, Haunted Houses Events Ltd may need to reduce ticket prices to ensure an event reaches the minimum required attendance and avoids cancellation.

13.4 Gift Vouchers

  • Unique Code – Each gift voucher is issued with a unique code that can only be used once.

  • Lost or Misplaced Vouchers – Haunted Houses Events Ltd cannot reissue lost or misplaced vouchers, so they must be kept secure.

  • Expiry Dates – All gift vouchers have a fixed expiry date of twelve months and cannot be extended or exchanged once expired.

  • No Change Given – Gift vouchers must be used towards an event of equal or greater value, with any price difference paid at the time of booking.

  • Minimum Age Requirement – Gift vouchers can only be used by individuals aged 18 and over.

  • Use Against Available Events

    • Gift vouchers are valid for any current event running at the time of redemption.

    • If a venue is no longer available for events, Haunted Houses Events Ltd is not responsible for offering an alternative venue and will not refund gift vouchers issued for that location.

14.2 Cancellations, Postponements & Rescheduling Beyond Our Control – If an event is cancelled, postponed, moved, or rescheduled due to circumstances beyond Haunted Houses Events Ltd’s control, we will:

  • Offer customers an alternative date or venue where possible.
  • If the alternative is unsuitable, the customer will be offered a refund or credit note.
  • Booking fees are non-refundable in the case of postponed events.

14.3 Exclusions of Liability for Additional Expenses – Haunted Houses Events Ltd is not responsible for any third-party costs incurred by the customer, including but not limited to:

  • Travel expenses (e.g., train tickets, petrol, taxis, etc.).
  • Accommodation costs (e.g., hotel bookings).
  • Any insurance policies taken out by the customer.

These expenses are incurred at the customer’s own discretion, and we strongly recommend booking hotel rooms under a flexible rate to protect against cancellation charges.

14.4 Events Taking Place Outdoors & Weather Conditions – If part of an event is due to take place wholly or partially outdoors, it may be affected by adverse weather conditions. In such cases, Haunted Houses Events Ltd reserves the right to:

  • 14.4.1 Relocate the event to a more suitable area or venue.
  • 14.4.2 Cancel part of the event entirely, notifying customers as soon as possible.

Refunds will not be issued for cancellations of outdoor activities unless the full event is cancelled.

14.5 Changes Imposed by Venue Owners – Haunted Houses Events Ltd is not liable for any changes made to an event due to restrictions imposed by the venue owner. This includes, but is not limited to:

  • Limited access to certain areas of the venue.
  • Venues requiring guests to sign waivers before accessing specific locations for safety reasons.

If such changes occur, we will notify customers as soon as possible, but no refunds will be provided unless the entire event is cancelled.

14.6 Minimum Capacity Requirements

14.6.3 Postponement Due to Low Numbers – If an event is postponed due to not meeting minimum capacity, Haunted Houses Events Ltd will:

  • Arrange a new date and notify customers as soon as possible.
  • If the new date is unsuitable, the customer will receive a refund for the event ticket price only.
  • Booking fees are non-refundable in cases of postponed events.

Refunds do not include any third-party expenses (see Clause 14.3).

  • Government restrictions (including those imposed by any agency or political subdivision thereof).
  • Court orders or legal prohibitions.
  • Unforeseen venue closures or venue owners failing to open the premises.
  • Fire, acts of war, terrorism, or civil unrest.
  • Electrical power surges or failures in essential public supplies (e.g., water, electricity, gas).
  • Floods, epidemics, pandemics, and health crises.
  • Extreme weather conditions (e.g., tornadoes, hurricanes, storms, severe snowfall).
  • Acts of God or any other unforeseen natural disasters.
  • Staffing shortages due to illness, industrial action, or travel disruptions, where the event cannot be safely staffed or operated.
  • Supplier failures or equipment shortages affecting the safe or practical running of an event.
  • Venue insolvency or permanent closure.

This list is non-exhaustive and covers all causes that are beyond the reasonable control of Haunted Houses Events Ltd.

15.2 Notification Requirement

  • Both parties agree to provide immediate written notice to the other if a force majeure event arises.
  • The notice must include details of the circumstances leading to the event and the anticipated impact on event performance.
  • Haunted Houses Events Ltd will aim to notify affected customers within a reasonable timeframe and provide updates as soon as more information becomes available.

15.3 Temporary Force Majeure Events – If an event is temporarily impossible to perform due to a force majeure event, Haunted Houses Events Ltd may:

  • Suspend the event for the duration of the force majeure situation.
  • Offer a transfer to a later viable date or provide a credit note to be used for a future event.

Refunds will not be provided for temporarily postponed events, as neither the guest nor Haunted Houses Events Ltd should bear a financial loss due to an unforeseen and temporary force majeure situation.

15.4 Permanent Force Majeure Events & Full Cancellations – If a force majeure event results in a permanent impossibility to proceed with the booked event, Haunted Houses Events Ltd reserves the right to retroactively cancel the agreement.

  • In such cases, both Haunted Houses Events Ltd and the customer shall be restored to their original financial positions as if the booking had never been made.
  • This includes refunds of sums paid for services that cannot be rescheduled or delivered, in accordance with UK consumer law.
  • Haunted Houses Events Ltd cannot refund any third-party costs, including but not limited to:
    • Travel expenses (e.g., train tickets, petrol, taxis).
    • Accommodation costs (e.g., hotel bookings).
    • Any other expenses incurred by the customer that are unrelated to Haunted Houses Events Ltd.
  • Refund Processing Timeline – Refunds for permanently cancelled events will be processed within 14 to 28 days from the date of cancellation confirmation.

15.5 Event Proceeding in Unaffected Areas – If an event is scheduled to take place in an area that is unaffected by the force majeure event (e.g., storms, travel disruptions in other regions), the event will continue as planned.

  • If a customer is unable or unwilling to attend the event due to circumstances affecting their personal ability to travel, but the event itself remains operational, the booking will fall under Clause 3 – Customer Cancellations & Amendments.
  • No refunds, transfers, or credit notes will be offered in these cases, as the event is still taking place as scheduled.

15.6 Partial Force Majeure Impact – If only part of an event is affected due to a force majeure situation (e.g., outdoor vigils being cancelled due to weather, certain areas of a venue being closed unexpectedly), Haunted Houses Events Ltd reserves the right to:

  • Proceed with the remaining elements of the event where possible.
  • Relocate activities to alternative locations within the venue.
  • Modify the event format to maintain an enjoyable experience.

No refunds, partial or full, will be issued for changes that do not prevent the overall event from proceeding.

15.7 Force Majeure Duration & Credit Note Expiry – If a force majeure event is prolonged, Haunted Houses Events Ltd reserves the right to:

  • Hold credit notes for up to 12 months, after which an alternative resolution may be considered.

  • Guests should not assume that overnight stays are permitted unless specified in the event description.

16.2 Optional Sleepovers – All Haunted Houses Events Ltd sleepover events are optional and are often included at no additional cost.

  • Staying over is not essential and is offered as a bonus experience for those who wish to extend their event.
  • Guests are not required to stay overnight and may leave at the end of the ghost hunt if they prefer.

16.3 Guest Responsibility for Sleeping Arrangements – If an event is advertised as a sleepover experience, Haunted Houses Events Ltd cannot guarantee the availability of beds, bedding, or sleeping facilities at the venue.

  • Guests are responsible for bringing their own sleeping bags, air mattresses, or similar sleeping provisions unless otherwise stated.
  • Haunted Houses Events Ltd recommends that guests prepare for basic sleeping conditions, as most sleepover events take place in historic venues or non-residential buildings.
  • Most sleepovers involve floor camping, and no beds or mattresses are provided. Guests must ensure they have the appropriate sleeping equipment, as Haunted Houses Events Ltd is not liable if a guest is unable to complete the sleepover due to a lack of suitable gear.

16.4 No Allocation of Sleeping Areas – Haunted Houses Events Ltd does not allocate specific sleeping areas for guests during ghost hunt sleepovers.

  • Sleeping areas are available on a first-come, first-served basis.
  • Haunted Houses Events Ltd cannot accommodate reservation requests for specific areas within the venue.

16.5 Sleepovers Take Place After the Scheduled Ghost Hunt – Any event advertised as a sleepover will only begin after the advertised duration of the ghost hunt has been completed.

  • Guests are not permitted to close down or shut off areas designated for investigation because they wish to go to bed earlier than the scheduled end time.
  • The ghost hunt will proceed as planned, and all designated areas must remain accessible for investigation until the event officially transitions into the sleepover period.
  • Guests who anticipate being too tired to complete the ghost hunt should seek local hotel or accommodation options instead of relying on the sleepover facilities.

    • Injury to or the death of any person, or
    • Damage to any property,
    • Resulting from the customer’s own negligence, reckless behaviour, or failure to follow safety instructions.

19.2 Scope of Indemnity – This indemnity applies to, but is not limited to:

  • Failure to adhere to safety instructions or venue rules.
  • Reckless or intentional damage to property, including historic venues and investigative equipment.
  • Failure to act with due care when navigating dark or uneven terrain, staircases, confined spaces, or low-lit areas.
  • Actions that result in harm or risk to other guests, staff, or the venue.
  • Any unauthorised activities, including but not limited to trespassing in restricted areas, staging paranormal activity, or conducting unapproved rituals.

19.3 Customer Acknowledgement of Risk

  • Haunted Houses Events Ltd takes reasonable precautions to ensure the safety of all guests during events.
  • However, guests acknowledge that ghost hunting events take place in historic and often unpredictable environments, which may pose inherent risks such as uneven flooring, steep staircases, low lighting, and outdoor exposure.
